Accounting numbers can make or break your financial records and payment accounts, not to mention cause a lot of frustration when reporting numbers don’t match. You can view your accounts receivable numbers by running these five reports in Dentrix Enterprise.

Before we discuss the specific reports, I think it is important to discuss the process of Closing Out the Month. Before running any of these reports, it’s very important to close out each month by running the month-end update. This process ensures that patient payment data remains accurate and up to date, and that account balances will not remain current on aging reports. Also, posted procedures for the month are closed and moved into history when it creates a record of the month. For more information, see the Help article Running the month-end update.

  1. Provider A/R Totals Report
    This report is useful because it lists daily production totals, which include production and collection adjustment amounts. It is important to make sure the adjustment types for the report are set up correctly. By default, all debit adjustments are in the Production Adjustments list, and all credit adjustments are in the Collection Adjustments list. To view this report, go to DXOne Reporting, select Management, and then double-click Provider A/R Total. For more information, see the Help article Provider Accounts Receivable Totals Report.

  2. The Aging Report
    This report will not only show you accounts that haven’t been paid, but it will show you the agreed payment amount and the total account balance. The report provides totals and payments with the guarantor’s contact information and all other important information you need to get the accounts up to date. To view this report, go to DXOne Reporting, select Ledger, and then double-click Aging/Credit Balance. For more information, see the Help article Aging/Credit Balance Report.

  3. Insurance Claim Aging Report
    This report will display the insurance carrier and claim information that you need in order to track down outstanding claims, including billing amounts. To view this report, go to DXOne Reporting, select Ledger, and then double-click Insurance Claim Aging. For more information, see the Help article Insurance Claim Aging Report.

  4. Insurance Claims Not Sent Report
    This report is useful for when you need to quickly view insurance claims that have been created in the Ledger, but have not yet been submitted. It also displays the total of the amounts for primary claims and secondary claims and combined totals. To view this report, go to DXOne Reporting, select Ledger, and then double-click Insurance Claims Not Sent. For more information, see the Help article Insurance Claims Not Sent Report.

  5. Practice Analysis Report
    This report shows an activity analysis of the patients in your practice, with details of production and financial agreements. It’s important to close out the month before running this report. To view this report, go to DXOne Reporting, select Analysis, and then double-click Practice Analysis. For more information, see the Help article Practice Analysis Report.
